What is The Archiver?
The Archiver is fully managed, hosted solution for securely archiving all of your company's communications offsite - for example all internal & external email, Internet Messenger conversations, email folder posts, Bloomberg etc.

It supports all major messaging systems - MS Exchange, Notes, Groupwise, Sendmail, Postfix, Akonix, Facetime etc.etc.


OK, but what does it actually do?
As an example lets say you use a Microsoft Exchange 2003 system in your company, and you use it for internal / external email for your staff.

Installed in literally 10 minutes, with no hardware or software to install, and no reboots or system downtime required, your Exchange server is configured to send The Archiver (via a secured web connection) all emails, mail enabled folder posts, messages, attachments - in fact all email traffic which passes in, out and around your Exchange server.

It goes through several technical stages - but basically all of these messages are indexed, encrypted and written to vast arrays of storage media hosted at various secure Data Centres around the workl. It is also written to your own, personal WORM tape which is yours to keep forever.

All headers and other message information are kept 100% intact and unchanged. You can review who sent it, to whom, who it was from, which servers it passed through etc.

Via a web browser from anywhere in the world, you then have full searchable access to ALL of the messages ever sent to / from / between users of your Exchange store.


That Sounds great - but why would I want to archive?
Loads of reasons - but the main ones are obvious.

  • Never lose an email again - EVER.
  • Reduce storage / backup costs significantly.
  • Disaster Recover / Business Continuity.
  • Legal requirements / Regulatory compliance / Discovery reasons.
  • Provide worldwide, searchable access to all company messages from anywhere.
  • Monitor / archive all internal communications - traditionally very hard to do.


Is it Secure, Stable and Reliable?
Absolutely.

Secure - all connections are TLS encrypted end to end, plus messages are encrypted using a double encryption system which is the highest security available today. The system is fully tamper proof and features a full audit trail which is legally admissable in any court.

Stable - in over 6 years there has not been a single instance of data loss or system outage.

Reliable - Backend systems are all UNIX based and are infinitely scalable to millions of users, and Terabytes of data. Data Centres are located around the world and all messages are stored in multiple locations and on multiple arrays for fault tolerance.


Why Should I choose The Archiver over an in-house solution?
Easy. With the Archiver there is;

NO additional hardware to buy - no servers, tape drives, disk arrays etc.

NO software licences to purchase or maintain.

NO technical skills required to implement.

NO ongoing personnnel / maintenance costs

 


What happens if we decide to move to our own in house system in say 12 months time?
Its never happened yet!

All you data is your own. At ANY time during your subscription, OR if you decide to leave our service we will securely send your data back on WORM tape in a standard format which you can re-use / import as necessary.

Your data wont be removed from our systems until you have confirmed receipt of the media and have notified us all is in order.


I dont have a very high speed Internet Connection - will there be an issue?
Every company is different, with different needs, requirements and email usage patterns which we will need to discuss.

However, in our experience in the vast majority of cases the speed of your internet connection is simply not an issue.

For smaller companies (around 50 users with average usage for example) a 1Mb ADSL connection is fine. If needed, we can set a schedule on the message transfers - so that for example all email is batched up, sent and archived overnight when the ADSL circuit is not being used, or we can just schedule large emails so they are sent overnight.

With ADSL speed increases, and costs of Internet Connections plummeting across the UK and Europe, there will be little bandwidth concerns for all sizes of companiy in the future.

Additionally there are many other resilient, low cost aggregation techniques we can use to optimise bandwidth usage if absolutely required.


How do I administer The Archiver?
Assignment of all user roles and rights is managed by you via a secure web browser session. No special software needs to be installed.


How do I search the Archive?
Again via a standard web browser - assuming of course you have proper rights (setup by your own nominated Company system administrator)

You can search on a wide variety of things - who its from, who its to, date range, attachment type, key words - and any combination of items.


Can I download / export messages from the archive?
Yes

What else can I do with Archived email?
The standard user Archiver interface allows you to forward and reply to emails. You can also view full headers and attachments.

What is the Compliance Reviewer ?
Compliance Reviewer is a built in module which lets you set certain key words. If The Archiver "sees" messages passing through with the key words you have set, then they can be flagged for review by line management and escalated as your company policy dictates.

This may be useful for example monitoring the use of racist terms or profanity being sent between staff members.


How does this compare / complement my existing Email Gateway solution?
You may be running MailMarshal at the gateway for example which does a form of archiving. MailMarshal's archiving however (while convenient), is not secure, not long term , not easily searchable, and does not address compliance issues such as security, minimum retention periods, audit trails, Instant Messaging or any other internal communications.

The Archiver is a complete archiving, compliance, search and discovery solution which works seemlessly alongside, complementing your existing mail servers and gateway control solutions.


Can I import old, legacy data?
Yes. We can arrange for old legacy data to be imported and indexed in a wide variety of formats - for example Exchange PST files.
